How to use ParaKeeper

A complete guide to organizing deadlines, reminders, recurring items, documents, and household responsibilities.

Getting started

  1. Create an account or sign in.
  2. Open My items and select Add item.
  3. Enter a name and any useful details, then save.
  4. Use the Dashboard to see active-item counts and upcoming due dates.

Items and fields

An item can represent a bill, subscription, warranty, appointment, document deadline, household task, or anything else you need to remember.

FieldHow to use it
NameA clear label such as “Auto insurance renewal.”
Type and categoryOrganize similar items and make filtering easier.
Company or providerThe business, office, or person connected to the item.
Due dateThe payment, renewal, appointment, or deadline date and time.
AmountAn optional expected cost or payment amount.
VisibilityKeep it private, share it with the household, or choose selected members.
Responsible personAssign the item to a household member.
Account referenceUse only a nickname or last four digits—never a full account number or password.
Website and notesSave a helpful link and any non-sensitive instructions.

Select an item name or choose Edit from its three-dot menu to update its details.

Item statuses

Open an item’s three-dot menu and choose the status that matches what happened.

  • Active: still needs attention and counts toward the plan’s active-item limit.
  • Paid: a bill or charge has been paid.
  • Completed: the task or responsibility is finished.
  • Cancelled: no longer needed because it was cancelled.
  • Expired: the deadline, coverage, or document has expired.
  • Archived: retained for reference but no longer active.
  • Move to trash: removes the item from normal lists and schedules permanent cleanup later.

Repeating items and email reminders

In the Repeat box, enter an interval and choose days, weeks, months, or years. Example: Every 1 month.

When a repeating item is marked Paid or Completed, ParaKeeper creates its next occurrence during the next recurring-item run, normally within five minutes. Month-end dates use the final valid day when the next month is shorter.

Items with due dates receive an email reminder three days beforehand. Changing an item to a non-active status cancels its pending reminder.

Search, filters, and exports

  • Search by item name or provider.
  • Filter by type or status, including archived and completed items.
  • Choose Export → Spreadsheet (.csv) for a spreadsheet-compatible list.
  • Choose Export → Calendar (.ics) to import dated items into a calendar.

Households, invitations, and roles

Household sharing is available on Family and Care plans. Owners and administrators can invite people from the Household page. Invitations expire if they are not accepted and can be revoked while pending.

  • Owner: controls billing, household settings, members, and items.
  • Administrator: manages household settings, invitations, and items.
  • Adult member: creates and manages items.
  • Limited member: views permitted items and completes items assigned to them.
  • Read only: views permitted items without changing them.

Attachments

Paid plans can attach PDF, JPG, PNG, WebP, and plain-text files to an existing item. Open the item’s Edit page, choose a file in Attachments, and upload it.

Use the file name to download it or Remove to delete it. Never upload passwords, Social Security numbers, full payment-card numbers, or other secrets.

Plans and billing

Open Plans to compare current limits and choose monthly or yearly billing. Stripe securely handles payment information; ParaKeeper does not store full card numbers.

After subscribing, household owners can use Manage subscription to change plans, update payment methods, view invoices, or cancel. If a payment needs attention, follow the billing-page message to update it.

Security and privacy

  • Use a unique password and sign out on shared devices.
  • Choose Private visibility for information only you should see.
  • Use only nicknames or last four digits for account references.
  • ParaKeeper is an organizer—not a bank, financial adviser, or password vault.
  • Review the Privacy Policy and Terms of Service from the footer on every page.

Troubleshooting

Check Spam or Junk, confirm the account email is correct, and allow several minutes for delivery. Password-reset requests are limited so repeated clicks may not send another message immediately.

Confirm the original item has a repeat schedule and was marked Paid or Completed. Then wait at least five minutes and refresh the Items page.

Refresh the billing page and try once more. Only the household owner can change billing. If a subscription already exists, use Manage subscription instead of starting another checkout.

Your household role and the item’s visibility control access. Ask the owner or an administrator to review your role, assignment, and selected-member access.
